Welcome to the African Institute for Artificial Intelligence (“AI-4AI”, “we”, “our”, or “us”). These Terms of Service (“Terms”) govern your access to and use of our websites, platforms, programmes, events, digital tools, and services (collectively, the “Services”). AI-4AI is a non-profit, pan-African institute dedicated to advancing responsible artificial intelligence literacy, governance, research, and community building across Africa. 

By accessing or using our Services, you agree to be bound by these Terms. If you do not agree, please do not use our Services. 

About AI-4AI

The African Institute for Artificial Intelligence is a non-governmental, non-profit organisation committed to equipping Africans and African institutions with the knowledge, tools, and governance frameworks needed to use AI responsibly for social and economic development. 

Eligibility and Use of Services

You may use our Services if: 

  • You are at least 18 years old, or you have the consent of a parent or legal guardian; 
  • You agree to comply with these Terms and all applicable laws and regulations. 

You agree to use the Services only for lawful, educational, research, community, or development-related purposes aligned with AI-4AI’s mission. 

Programmes, Events, and Membership

Participation in AI-4AI programmes (including school outreaches, workshops, mentorships, conferences, governance councils, and community activities) may require registration and submission of personal information. 

AI-4AI reserves the right to: 

  • Accept, suspend, or terminate participation where necessary; 
  • Modify programme content, schedules, or delivery formats; 
  • Establish additional terms for specific programmes, which will be communicated where applicable. 

Data Protection and Privacy (Ghana Data Protection Act, 2012 – Act 843)

AI-4AI is committed to protecting personal data in accordance with the Ghana Data Protection Act, 2012 (Act 843) and other applicable data protection principles. 

4.1 Personal Data We Collect 

We may collect: 

  • Names, email addresses, phone numbers, institutional affiliations; 
  • Demographic or educational information relevant to programmes; 
  • Feedback, survey responses, and assessment data; 
  • Images, audio, or video recordings from events (with notice); 
  • Technical data such as IP addresses or website usage data. 

4.2 Lawful Basis and Purpose of Processing 

We process personal data lawfully, fairly, and transparently for purposes including: 

  • Programme delivery and administration; 
  • Communication and community engagement; 
  • Monitoring, evaluation, and impact reporting; 
  • Research and policy development (often in aggregated or anonymised form); 
  • Compliance with legal and regulatory obligations. 

4.3 Data Subject Rights 

Under the Ghana Data Protection Act, you have the right to: 

  • Request access to your personal data; 
  • Request correction or deletion of inaccurate data; 
  • Object to or restrict certain processing activities; 
  • Withdraw consent where processing is based on consent.

4.4 Data Security and Retention 

We implement reasonable technical and organisational measures to safeguard personal data against loss, unauthorised access, or misuse. Personal data is retained only for as long as necessary to fulfil the purposes for which it was collected, or as required by law. 

4.5 Data Sharing and Transfers 

We do not sell personal data. Data may be shared with trusted partners, service providers, or collaborators solely for programme delivery, research, or compliance purposes, and subject to confidentiality and data protection safeguards. Where data is transferred outside Ghana, appropriate protections will be applied. 

Intellectual Property

All content, materials, curricula, publications, logos, and branding associated with AI-4AI are the intellectual property of AI-4AI or its licensors, unless otherwise stated. 

You may: 

  • Use materials for personal, educational, or non-commercial purposes with attribution. 

You may not: 

  • Reproduce, distribute, or commercialise AI-4AI materials without prior written consent. 

User Contributions and Conduct

If you submit content (including feedback, posts, or contributions) to AI-4AI platforms, you grant AI-4AI a non-exclusive, royalty-free right to use such content for programme, research, and communication purposes. 

You agree not to: 

  • Engage in harassment, discrimination, or harmful conduct; 
  • Share false, misleading, or unlawful content; 
  • Infringe on the rights of others. 

AI-4AI reserves the right to remove content or restrict access where these standards are violated. 

Communications

By registering for our Services, you may receive programme-related emails or communications. You may opt out of non-essential communications at any time. 

Third-Party Links and Services

Our Services may include links to third-party websites or tools. AI-4AI is not responsible for the content, privacy practices, or terms of such third parties. 

Limitation of Liability

To the fullest extent permitted by law, AI-4AI shall not be liable for any indirect, incidental, or consequential losses arising from your use of the Services. Our Services are provided on an “as-is” and “as-available” basis. 

Changes to These Terms

AI-4AI may update these Terms from time to time. Material changes will be communicated via our website or official channels. Continued use of the Services constitutes acceptance of the updated Terms. 

Governing Law

These Terms are governed by and construed in accordance with the laws of the Republic of Ghana, including the Ghana Data Protection Act, 2012 (Act 843).
